Fiduciary Specialist Assistant

To provide high-quality administrative, operational, and sales support to the Fiduciary Specialist team by ensuring efficient management of client processes, accurate data handling, and timely follow-ups. The role aims to enhance client experience, support revenue retention, and ensure compliance with legislative and internal governance requirements while enabling fiduciary specialists to focus on advisory delivery.
Key Responsibilities
Client Service & Stakeholder Management
- Deliver exceptional client service by providing proactive, innovative, and appropriate solutions that exceed expectations.
- Build and maintain strong working relationships with internal stakeholders (SMEs, Advisors, Managers) and external clients.
- Ensure professional and timely communication with clients regarding outstanding information and process updates.
Operational & Administrative Support
- Provide end-to-end administrative support to the fiduciary team, including document preparation, data capturing, and case tracking.
- Maintain an efficient diary management system and ensure all follow-ups are actioned timeously.
- Proactively follow up on outstanding client documentation and ensure completeness of records.
- Assist with the onboarding and maintenance of client fiduciary services.
Sales Support & Client Retention
- Provide sales support to the Fiduciary Specialists to improve efficiencies and drive client retention.
- Support the preparation of client proposals, reports, and relevant documentation.
- Facilitate seamless client journeys by ensuring operational excellence across all touchpoints.
Financial & Business Management
- Support the monitoring and control of revenue and costs within the function.
- Assist in achieving the targeted cost-to-income ratio as per product line budgets.
- Ensure adherence to company financial and operational standards.
Compliance & Regulatory Support (Critical)
- Support compliance with SARS requirements, including:
- Tax-related documentation and submissions
- Liaison on outstanding tax matters where required
- Assist with processes involving the Master of the High Court, including:
- Lodgement and tracking of trust documentation
- Ensuring required documentation meets statutory standards
- Apply working knowledge of:
- FAIS
- FICA
- Trust Property Control Act
- Ensure adherence to internal governance, audit, and risk frameworks
Team & Culture Contribution
- Contribute to a high-performance culture by supporting team objectives and collaboration.
- Participate in learning and development initiatives to enhance skills and competencies.

Minimum Requirements
Qualifications
Relevant qualification in:
- Finance / Investment Management / Law / Commerce
- (Minimum: Diploma or Degree preferred)
Experience
3+ years’ experience in:
- Fiduciary services / Trust administration / Wealth / Investments
- OR financial services administrative support role
- Exposure to client servicing in a regulated environment
Knowledge
Basic understanding of
- Trust structures and fiduciary services
- Financial and investment products
- Regulatory environment (FAIS, FICA)
- Strong administrative and process management capability
Skills & Competencies
- Administratively strong, detail-oriented individual with exposure to financial services
- Strong attention to detail and accuracy
- Excellent organisational and diary management skills
- Stakeholder engagement and communication
- Problem-solving and proactive thinking
- Ability to work under pressure and meet deadlines
Preferred Requirements
- Exposure to Trust processes
- Experience supporting high-net-worth or private clients
- Advanced knowledge of regulatory frameworks (FAIS, Trust Property Control Act)
- Proficiency in financial systems and reporting tools
