Qualifications and experience

• Grade 12 and a secretarial certificate / diploma or relevant tertiary qualification

• At least 3 years’ relevant experience

• Professional typing skills with a reasonable typing speed

• Good communication skills – both verbal and written

• Ability to work under pressure

• Good interpersonal skills, and the ability to work in a team

• Previous experience in a University environment is an advantage

Duties

• Efficient and effective administration of the office including diary management, setting up meetings, and storage of data such as overtime forms, leave forms, claims and statistic forms

• Minute-taking at departmental meetings and distribution of minutes

• Arrange departmental functions

• Set up and maintain paper and electronic filing systems records, correspondence and other material

• Interact with class representatives regarding notices, lecture notes, and queries

• Appropriate distribution of lecture notes, quota forms and timetables

• Update departmental web page as necessary

• Order and dispense office suppliers

• Ensure that the office equipment is routinely serviced and report faults timeously

• Execute receptionist and general administrative duties
