Minimum Requirements Grade 12/ Matric Strong Administrative background - 2 years' experience in similar field Valid driver's license Key Responsibilities Review, evaluate, and prioritise requests for maintenance Implement preventative maintenance and liaise with service providers as well as all the clients Interim Inspections Communication liaison between the tenants, landlords and agents Following up with tenants and landlords regarding maintenance required Regularly checking in with the inspectors for inspections due and progress on said inspections Having a follow-up system in place to ensure that all tickets are followed up on Regularly following up with tenants regarding their damages and updating the landlords Weekly reports on progress and activities Facilitating the damage repairs - tenants and landlords Assistance with inspection comparisons and checking the comparison with the property inspector Entry/Exit Inspections Ensuring that tenants are contacted in advance regarding their damages Sending vacating guidelines Liaising with the landlords regarding existing maintenance matters Arranging damage repairs with contractors (landlord’s maintenance) Logging all requests on the RR system General Maintenance Communication liaison between the tenants, landlords and agents Attending to all incoming queries, monitoring emails and taking all incoming queries and distributing tasks to the rest of the team Logging all maintenance requests on the RR system Obtain quotes and facilitate maintenance repairs Reporting all queries to the landlords Providing support to the clients and regular feedback on progress Ensuring a 24-hour turnaround time Planning and scheduling daily, weekly and monthly tasks and monitoring the completion of said tasks Daily and weekly check-ins with contractors - quotes requested, jobs booked, invoices required, etc. Monitoring client satisfaction through follow-ups Initiating measures to research and resolve client-raised issues, always working on preemptive measures to eliminate complaints and using initiative to manage the situations Sourcing and interviewing contractors Collaborating with clients to identify and implement value-added services Personal phone calls Checking up on maintenance and visiting properties for bigger jobs Visiting properties with the property inspector when there are issues Calling tenants after big jobs have been done
