Duties & Responsibilities
Depot Operations
o Ensures that all the job card pricing is totaled accurately and entered accordingly.
o Ensures that all status changes after the containers have been inspected by the estimators are captured accordingly
o Ensures that the status on all Reefers turning in is captured as “TI” – (Tracking Inspected) on a daily basis.
o Ensures capturing all wash bay listing (containers placed into the reefer and dry freight wash bays).
o Ensures that all capturing of special instructions regarding sales, off hires, empty shipments and restrictions are adhered to.
o Checks the depot system weekly for all job cards on hand and establishes units which have been dispatched and acts upon and updates accordingly.
Reports
o Captures all details in respect of the workshop plan – before and after repairs.
o Checks pricing of all job cards and for the material issues.
o Check all processed job cards for invoicing daily and weekly.
o Checks artisan and semi-skilled production figures on the reverse side of the job card ensuring same is recorded correctly.
o Processes and prepares weekly and monthly repair statistics.
o Assist the workshop supervisor in allocating job cards in relation to priorities and urgency.
o Provide Depot Manager with Estimators statistics and sanding/upgrading figures on a daily basis.
Ad hoc
o Ensuring that he complies with all aspects of safety in the workplace and that he wears the correct PPE as issued and signed for where applicable i.e. hearing and eye protection, etc.
o Follows organization standards in so far as hazardous identification, toxic materials and general safety standards are concerned with are adhered to.
o Acts on any reasonable instruction given to him by his superior in relation to workshop related type activities.
Desired Experience & Qualification
Min Requirements
- Minimum of 2–3 years’ experience in an administrative or production clerical role within a depot, logistics, or workshop environment.
- Experience with container tracking, job card processing, or production reporting systems (e.g., MSC MNR, OV System) is highly beneficial.
Skills and Competencies
- Strong computer literacy (MS Excel, Word, and Outlook).
- High attention to detail and numerical accuracy.
- Good organizational and time management skills.
- Effective communication and interpersonal abilities. Ability to work independently and under pressure in a fast-paced environment
Other Requirements
- Knowledge of depot operations and container repair processes will be advantageous.
- Must be willing to work overtime when required.
