About the Role
We are looking for a practical, dependable, and proactive Facilities Coordinator/Assistant to support the day-to-day running of our office environment.
Reporting to the Facilities Manager, this role provides hands-on operational support across building maintenance, facilities administration, health and safety, transport coordination, and workplace services. The successful candidate will be someone who enjoys solving problems, takes pride in maintaining a professional workplace, and is comfortable working independently.
This role requires someone who is equally comfortable completing administrative tasks and carrying out practical maintenance work throughout the office.
Key Responsibilities
Facilities & Building Maintenance
Conduct routine inspections across office facilities and identify maintenance requirements.
Carry out general building repairs, including furniture, fixtures, electrical fittings, and general upkeep.
Coordinate larger maintenance requests with building management and external contractors.
Assist with office moves, workstation setups, and furniture relocations.
Maintain maintenance records and ensure issues are resolved timeously.
Stock & Asset Management
Maintain inventory records for facilities equipment, appliances, mobile devices, and consumables.
Conduct regular stock takes and monitor asset movement.
Prepare purchasing requirements for approval.
Receive and distribute deliveries.
Assist with responsible disposal of obsolete equipment and e-waste.
Health, Safety & Security
Support health and safety compliance across the office.
Assist with emergency procedures, fire drills, and evacuation planning.
Manage access cards and visitor access processes.
Support contractor coordination and building compliance requirements.
Provide backup support for Health & Safety administration.
Operational Support
Provide operational support to the Coffee Station, including stock control, supplier coordination, reconciliations, and service standards.
Provide backup support for Transport coordination when required.
Assist with general workplace logistics and day-to-day operational requirements across the business.
Qualifications/Requirements
Grade 12 (Matric) or equivalent.
Experience in Facilities and maintenance administration /Microsoft (Excel)
Experience in Service Provider/stakeholder communication.
Own vehicle (advantageous)
Relevant facilities, maintenance, electrical, plumbing, or technical qualification or experience advantageous.
Health & Safety certification advantageous.
