Tsebo Facilities Solutions is looking for a Senior Administrator to coordinate and supervise maintenance and housing operations, ensuring staff accommodation facilities are maintained to a high standard. The role focuses on efficient work allocation, timely fault resolution, contractor oversight, and maintaining service quality in line with client expectations and operational requirements.

Duties & Responsibilities

Maintenance Operations

  • Plan, assign, and supervise daily maintenance activities for housing facilities
  • Attend to maintenance tasks including plumbing, electrical, carpentry, HVAC, and general repairs
  • Ensure all work orders are prioritized, completed, and closed on the PRAGMA system
  • Monitor quality of completed work and perform random inspections
  • Escalate critical failures promptly and provide progress updates until resolved
  • Ensure accurate recording of all maintenance activities
  • Support standby duties as required

Work Order & Service Delivery Management

  • Manage and allocate requests received via the Helpdesk/Contact Centre
  • Ensure response times meet agreed service levels
  • Track outstanding work and follow up on delays, including sourcing spares
  • Maintain high standards of workmanship and service delivery

Contractor & Stakeholder Management

  • Supervise contractors to ensure compliance with scope of work and SLAs Inspect contractor work before sign-off
  • Ensure safe work practices and site compliance at all times
  • Build strong working relationships with the housing team and client stakeholders

Preventative Maintenance

  • Ensure preventative maintenance schedules and asset registers are maintained
  • Monitor contractor performance on planned maintenance
  • Drive proactive maintenance to reduce breakdowns and service disruptions

Audits & Inspections

  • Conduct routine inspections and quality audits
  • Support team “walk-the-floor” inspections
  • Ensure compliance with maintenance standards and service expectations

Team Supervision & Development

  • Supervise maintenance staff and optimize team productivity
  • Conduct on-the-job training and performance assessments Identify skills gaps and recommend development interventions
  • Promote a culture of accountability and pride in workmanship

Stock & Resource Management

  • Manage housing store stock levels and issue processes
  • Order and collect spares as required
  • Conduct monthly stock takes and ensure variances remain below 1%
  • Ensure materials are available to complete maintenance tasks without delay

Reporting & Administration

  • Prepare and submit reports as required
  • Maintain accurate documentation of maintenance activities and stock
  • Ensure proper shift handovers and communication of ongoing work

SHEQ Compliance

  • Comply with ISO 9001, 14001, and 45001 standards
  • Adhere to Tsebo Safety, Health, Environmental, and Quality policies
  • Ensure team and contractors follow all safety procedures

Ad Hoc Duties

  • Perform reasonable tasks as requested by management or client representatives

Skills and Competencies

Technical Skills

  • General maintenance knowledge (electrical, plumbing, carpentry, etc.)
  • Understanding of Occupational Health & Safety regulations
  • Knowledge of maintenance systems (e.g., PRAGMA) Computer literacy (MS Office)
  • Ability to perform root cause analysis and fault diagnosis

Qualifications

Minimum Requirements

  • Matric or equivalent (NTC qualification advantageous)
  • 3–4 years’ experience in facilities maintenance or similar environment
  • Experience supervising maintenance teams
  • Advantageous Hands-on experience in electrical, mechanical, or construction-related fields
