Production Administrator Job Description The Production Administrator supports the efficient operation of production activities through the coordination of essential administrative functions within a manufacturing or production environment. The role is responsible for maintaining accurate production documentation, assisting with the organisation of schedules, monitoring inventory-related records, and supporting the allocation of resources to meet operational demands. The position also facilitates clear communication between production, logistics, procurement, quality, and management teams while helping to ensure that processes are aligned with organisational standards, quality requirements, and health and safety procedures. Through strong administrative control and attention to detail, the Production Administrator contributes to smooth workflow, reduced disruption, and effective production performance. Responsibilities The Production Administrator maintains and updates production records, reports, logs, and documentation to ensure accuracy and accessibility. The role assists in preparing, tracking, and coordinating production schedules in line with operational requirements and deadlines. It monitors stock levels, records material usage, and supports inventory control activities to help prevent shortages or overstocking. The position coordinates with internal departments to ensure timely availability of materials, equipment, and information required for production. It supports the preparation of production performance reports and highlights discrepancies, delays, or operational issues for review. The role helps ensure that administrative processes comply with quality assurance procedures, company policies, and health and safety regulations. It may also assist with order processing, filing, data entry, and general departmental administration to support daily production continuity. Skills Required Strong organisational and administrative skills are required to manage multiple production support tasks efficiently. Excellent attention to detail is essential for maintaining accurate records and monitoring documentation. Effective written and verbal communication skills are important for liaising with production teams and other departments. Proficiency in data entry, document control, and the use of office and production-related software is required. Good time management skills are necessary to prioritise work and meet deadlines in a fast-paced environment. Analytical ability is valuable for identifying discrepancies in records or schedules.
