SUMMARY
Our client, a large FMCG manufacturer in the highway area, seeks a Dispatch Coordinator, who will be responsible for the end-to-end coordination of customer order dispatch, ensuring that product leaves the warehouse on time, in full, and fully invoiced. Operating at the heart of the supply chain, this role acts as a central communication hub between the warehouse, transport providers, customers, the sales team, and the invoicing function.
POSITION INFO
Key Responsibilities Order Dispatch & Coordination Manage the dispatch process from order confirmation to delivery. Coordinate warehouse picking to ensure accurate, on-time order fulfilment. Monitor progress against cut-off times and escalate delays or discrepancies. Ensure orders are packed, labelled, and compliant with customer and retailer requirements Transport & Truck Booking Arrange suitable transport for outbound shipments. Liaise with 3PL providers, hauliers, and couriers to confirm collections and delivery schedules. Prepare and manage transport documentation, including delivery notes, PODs, and consignment paperwork. Resolve transport issues promptly and keep stakeholders informed. Customer Booking Slots Secure delivery booking slots with retail, wholesale, and distribution centre customers. Manage retailer booking portals and ensure deliveries are booked within required lead times. Communicate confirmed schedules and promptly rebook failed or amended deliveries. Sales Team Communication Provide regular updates on order dispatch status. Highlight risks to delivery timelines and work with sales teams to manage customer expectations. Maintain and distribute daily dispatch reports. Invoicing Coordination Work with the invoicing team to ensure dispatched orders are invoiced accurately and promptly. Confirm dispatch details, investigate invoice queries, and maintain complete dispatch documentation. Administration & Systems Maintain accurate records in the ERP/WMS, including orders, bookings, and dispatch activity. Update dispatch trackers and transport schedules. Support month-end reconciliations and continuous improvement of dispatch processes and documentation. Qualifications, Experience and Skills Matric and tertiary education (advantageous) Minimum 3 years' experience in a logistics, supply chain, or operations administration role. Experience within food manufacturing, FMCG, or food retail supply chains is highly desirable. Proficient in Microsoft Office; ERP and WMS experience preferred. Knowledge of food safety, traceability, and temperature-controlled logistics is an advantage. Accurate in order processing, dispatch, and invoicing.
