Personal Assistant

- Assist in compiling management reports and preparing meeting minutes and follow-up actions.
- Assist with preparation of presentations.
- Draft correspondence, filing and minute taking.
- Collect information for Central Office (CO) and distribute info as received from CO to relevant retailers.
- Collect information for suppliers on incentive schemes.
- Manage ROD’s calendar and schedules meetings.
- Prioritise appointments and travel arrangements.
- Act as liaison between the Divisional ROD and all internal and external stakeholders.
- Handle sensitive information with discretion and maintain strict confidentiality regarding all matters.
- Support the Divisional ROD with special projects, initiatives, and research assignments as needed, demonstrating flexibility and adaptability to changing priorities.
- Coordinate meetings, conferences and events including agenda preparation, venue booking, technical support, and logistics management.
- Build and maintain a strong business relationship with internal and external stakeholders.
- Manage information flow in a timely and accurate manner.
- Management of company pool vehicles and bookings.
- Effectively manage and lead a direct report.
- Carrying out any reasonable tasks requested by management (ad hoc duties).
Desired Experience & Qualification
Requirements:- A relevant tertiary qualification
- Minimum of 3 years as a personal assistant to senior executives essential.
- Fully computer literate on MS Office suite.
- Experience will be advantageous.
- Excellent written and verbal communication skills.
- Accuracy and attention to detail.
- Good Interpersonal, problem solving and organisational skills.
- Ability to work independently without any supervision.
- Supervisory and people management skills.
- Deadline orientated.
- Able to respond to incoming correspondence on behalf of the Divisional ROD.
- Flexible in terms of working hours and travel.
- Positive attitude and team player.
