The Role
This is a new role at Apex, created to bring dedicated, professional oversight to the physical infrastructure that our schools and learners depend on every day. As we grow — both in our current school buildings and in new sites under construction — we need someone who can coordinate the maintenance and operation of multiple facilities simultaneously, ensure they are safe, functional and well-maintained, and help us build new sites that are fit for purpose from the ground up.
You will be responsible for the upkeep, safety, and operational readiness of our existing campuses, while also playing a hands-on role in new site development — from construction liaison through to handover and ongoing maintenance. The role requires strong organisational ability, sound judgement on maintenance and contractor matters, and the ability to manage competing priorities across multiple sites with limited daily supervision.
What You’ll Do
• Coordinate the day-to-day facilities operations of all Apex school sites, ensuring buildings, grounds, and equipment are safe, clean, and fully operational
• Coordinate planned and reactive maintenance across multiple sites, liaising with contractors, service providers, and internal maintenance staff
• Act as the key facilities liaison on new building projects – coordinating with architects, contractors, and project teams from construction through to handover and occupation
• Maintain and coordinate preventative maintenance schedules, asset registers, and facilities budgets across the network
• Monitor and support compliance with health and safety regulations, building codes, and occupational safety requirements (including COIDA and municipal by-laws) across all sites
• Source, liaise with, and review service providers and contractors (security, cleaning, gardening, electrical, plumbing, and building maintenance), ensuring value for money and quality of service
• Coordinate facilities-related procurement, including obtaining quotes, raising purchase orders, and tracking spend against budget
• Conduct regular site inspections across all schools, identifying risks and maintenance needs before they become urgent
• Report regularly to the CFO on facilities condition, project progress, and budget performance across the network
• Respond promptly to facilities emergencies and unplanned issues across sites, coordinating swift and cost-effective resolution
Who You Are
• A Facilities, or Maintenance Officer or similar, with 5+ years’ experience, ideally overseeing multiple sites or properties simultaneously.
• Experience with new building or construction projects is a strong advantage – you understand what it takes to bring a site from build to handover to daily operation.
• Comfortable overseeing multiple sites and competing priorities independently, with strong organizational and planning skills.
• Working knowledge of health and safety, asset lifecycle management and maintenance, and basic contract management.
• Proficient in English (verbal and written); proficiency in an additional South African language is advantageous.
• Diploma in facilities management or project management is preferred, a degree will be advantageous.
• A team player who is adaptable, hands-on, and willing to “roll up your sleeves” when needed.
• Has own reliable transport and is willing to travel regularly between sites.
