Our client is a well-established financial advisory firm providing professional financial planning services to a loyal and established client base. They are looking for an experienced, professional, and detail-oriented Administrative Officer to provide administrative support to their financial advisors while ensuring the smooth day-to-day running of the office.

  • Provide comprehensive administrative support to Financial Advisors.
  • Manage the day-to-day administration of the office.
  • Handle general correspondence, filing systems, and document management.
  • Perform reception duties, including welcoming clients and managing incoming telephone calls.
  • Build and maintain professional relationships with clients, product providers, and service providers.
  • Deliver exceptional client service while maintaining strict confidentiality.
  • Follow up with clients regarding outstanding documentation and queries.
  • Schedule and coordinate client appointments and meetings.
  • Prepare documentation for client meetings and ensure all required documentation is completed.
  • Maintain accurate client records and update the CRM system, including compliance documentation.
  • Prepare investment applications, long-term insurance applications, and related documentation through to completion.
  • Assist with compliance and regulatory administration, including FAIS and FICA requirements.
  • Minimum of 5 years' experience within the financial services industry.
  • Proven experience in an administrative and/or office management role.
  • Previous experience within the financial planning industry will be advantageous.
  • Excellent organisational and administrative skills.
  • High level of accuracy and exceptional attention to detail.
  • Ability to work independently and manage multiple priorities.
  • Excellent interpersonal and client service skills.
  • Professional verbal and written communication skills in both Afrikaans and English.
  • Ability to handle confidential information with discretion.
  • Strong ethical values and professionalism.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, and related applications).

Advantageous Qualifications & Experience

  • Accounting qualification or accounting background.
  • Legal qualification or legal background.
  • Experience with FAIS, FICA, and financial services compliance requirements.
