Position Overview

A building manager is responsible for overseeing the daily property operations onsite. This role ensures smooth operations onsite, that properties are well-maintained, landlord standards are maintained, company policies and procedures are adhered to and provide a positive experience for tenants.

Job Responsibilities

Strategic Work

  • Custodian of the daily operations onsite, ensure the site is well-maintained to ultimately add value to the property.
  • Coordinate with stakeholders such as property manager, maintenance department, and suppliers to ensure that the site is fully functional at all times.
  • Cultivate good relations with residents so as to communicate company policies effectively and assist with tenant retention.
  • Maintain good records of access control data, keys management, weekly/monthly reports, warnings, fines and tenant communication.

Tactical Work

  • Repairs and maintenance
    • Assessing of maintenance being reported by a resident, report the requirements to Head Office, follow up with job cards and repairs.
    • Identify the type of repair – Unsafe circumstances should be attended to as an emergency as per the standard operating procedures.
  • Leasing and tenants
    • Conduct tenant viewings prior to lease commitments.
    • Ensure the units are clean and in lettable condition before occupation date, escalate any challenges to the Property Manager.
    • Complete entry inspections and ensure all tenant requirements are met.
    • For tenants moving in, ensure that all documents as per standard operating procedures are there.
    • Complete weekly site inspections – reports absconds and illegal occupants.
    • Interim inspections- conduct unit interim inspections regularly to ensure that the units stay in good condition.
    • Complete exit inspections timeously with the tenants as part of the vacating process and collect the unit keys.
  • Credit Control
    • Communication/Notices – Ensure all notices and communication are delivered to tenants and return signed document to Head Office timeously.
    • Assisting Credit Control during the monthly collection process by liaising face-to-face with tenants and following up regarding outstanding arrears.
    • Facilitate the Sheriff during an eviction proceeding and communicate to Head Office in this regard.
  • General site duties.
    • Security – The Building Manager must ensure that the security is on duty and appropriately dressed at all times.
    • Gardening – Ensure that the gardens are at the required standard and condition. Implement a gardening schedule onsite.
    • Cleaning – Ensure that the property is cleaned to required standard. Implement and manage the daily cleaning schedule.
    • Maintenance – Assessing the maintenance query, logging of requests, supervise external contractors/internal staff and inspect repair work. Job cards only be signed after assessing work and be satisfied that its of standard good quality.
    • Unit management – Be vigilant and report overcrowding, illegal occupation/sub-letting, absconds, cleanliness and enforcing House Rules with tenants.
    • Meter Reading – Ensure the meter are read by the contracted suppliers. Taking photos of main meters and sharing it with Property Manager.
    • Queries – Ensuring a that tenants/residents are well equipped with knowledge of how to log queries. These are to be addressed timeously, ensuring that they are first reviewed and signed off by Property Manager.
    • Manage inventory of supplies, equipment, and furnishings.
    • Keeping a detailed inventory of office and estate assets.
    • Conducting utility audits weekly, and sending bulk readings to head office weekly.
    • Sending required reports to Property Managers on time. Reports such as incident reports, acknowledgment of incident reports, insurance reports, and site inspection reports.
    • Managing rules compliance, issuing warning and fines to residents
    • Conduct monthly tenancy audits.
    • Review monitor jobs daily.
    • Conduct snagging, de-snagging and keeping records of both.

Skills And Knowledge

  • Previous work experience as Building/Estate Manager;
  • Excellent verbal communication skills;
  • Ability to communicate clearly and effectively in English.
  • Diligent and ethical;
  • Attention to detail;
  • Able to communicate via e-mails and the use of the Microsoft package (word and excel).
  • Problem solving and decision making skills.
  • Excellent interpersonal skills.
  • Strong leadership and team management skills.

Qualifications And Experience

  • Matric Certificate
  • High School/Secondary Certificate
  • Working on inspection applications such as property inspect.

Essential Requirements

  • This role may require working evenings, weekends, or on-call hours to address emergencies or resident’s needs.
  • Physical tasks such as walking, climbing stairs, and lifting may be required.
  • Comfortable working both indoors and outdoors in various weather conditions.
  • The role may require occasional travel to other properties or locations as determined by management, and a vehicle is a requirement.
