The Debtors function is a critical cash‑flow and risk control pillar, directly impacting liquidity, working capital, and financial confidence across the Group.

The Debtors Clerk is responsible for the accurate, timely, and controlled execution of all accounts receivable activities.

This role ensures

  • Invoices are issued, tracked, and collected timeously
  • Cash received is accurately allocated and reconciled
  • Debtor balances are controlled and escalated where required
  • Cash flow targets and debtor‑day expectations are met
  • You do not manage people or set credit policy — you execute debtor control with discipline, urgency, and accuracy.

Debtors Mandate

  • Cash Flow Protection

Ensure rapid collection of outstanding debt to support working capital.

  • Accuracy

Maintain accurate debtor balances, allocations, and reconciliations.

  • Timeliness

Ensure invoicing, follow‑ups, and escalations occur within defined timelines.

  • Control & Escalation

Identify and escalate risk early to prevent aged or unrecoverable debt.

  • Stakeholder Communication

Maintain clear, professional communication with internal departments and customers.

Key Areas of Responsibility – Expanded

  • Debtor Invoice Control & Collections
  • Monitor outstanding invoices daily
  • Notify departments of invoices unpaid beyond agreed terms
  • Actively follow up with customers on overdue accounts
  • Maintain debtor days at or below target (e.g. ≤30–45 days)
  • Ensure ≥95% of accounts remain current
  • Escalate overdue accounts (+5 days) to the Financial Manager and department heads
  • Red‑flag vehicle, floorplan, and high‑risk debtors immediately

Cash Processing & Allocation

Process all incoming funds daily

  • EFTs
  • Card payments (Speedpoints)
  • Ensure accurate and timely allocation of receipts
  • Maintain ≥98% accuracy in debtor allocations
  • Ensure 100% of debtor accounts reconciled monthly

Bank & Account Reconciliations

  • Perform daily bank reconciliations
  • Ensure all transactions are accounted for in the general ledger
  • Maintain 0 unresolved reconciling items older than 60 days
  • Investigate and correct discrepancies immediately

Debtor Reporting & Communication

  • Issue daily updated debtor lists to department heads
  • Overdue balances
  • Query status
  • Risk exposure
  • Alert management to persistent non‑payment risks
  • Support the Finance Manager with debtor‑related reporting

Administration & Record Keeping

  • Invoices
  • Payments
  • Customer communications
  • File supporting documentation accurately and audit‑ready
  • Resolve invoice and payment queries within 5–10 working days
  • Work closely with Sales, Service, and Parts departments to resolve disputes

Operating Environment

  • High‑volume motor retail dealership environment
  • Office‑based financial control role

  • Tight deadlines, especially around:
  • Month‑end
  • Floorplan settlements
  • Cash‑flow reporting
  • High standards of accuracy, confidentiality, and accountability required

Minimum Qualifications

  • 1–3 years’ experience in a debtors / accounts receivable role
  • NQF Level 6 qualification in Finance or related field
  • Proven accounting or finance administration experience
  • EVOLVE system exposure (Advantageous)

Salary

R 15000 – R20 000 p/m basic salary including benefits
