We are currently looking for a Warranty Clerk based in Northcliff, Johannesburg to join our dynamic team.
Warranty administration plays a critical financial control role within aftersales operations, directly impacting manufacturer recovery, compliance scores, and dealership profitability.
The Warranty Administrator is responsible for the accurate, compliant, and timely processing of all OEM warranty claims, ensuring maximum recovery of warranty revenue while protecting the dealership against audit exposure and claim rejections.
This is a process‑critical, detail‑driven role requiring deep understanding of OEM warranty rules, dealership operations, and internal controls.
You do not manage people or strategy — you execute with precision, discipline, and urgency.
Warranty Administration Mandate (5 Core Pillars)
Ensure claims are submitted first‑time right, with correct labour, parts, and documentation.
Submit all warranty claims within required OEM timelines and resolve returned claims immediately.
Protect dealership revenue by ensuring claims are paid within SLA timeframes.
Adhere strictly to OEM policies, audit requirements, and internal warranty procedures.
- Data & Process Discipline:
Maintain clean warranty records, trackers, and physical files at all times.
Key Areas of Responsibility

Warranty Claim Processing
- Submit warranty claims within 24 hours as per OEM requirements
- Load claims accurately the first time
- Ensure all invoices are submitted timeously
- Track claim status and follow up until payment
Returned Claims Resolution
- Attend to returned or rejected claims within one hour
- Correct errors and resubmit without delay
- Escalate recurring issues proactively
Warranty Financial Control
- Ensure warranty invoices are paid within 60 days
- Warranty WIP
- Outstanding cash balances
- Clear outstanding positions daily
Compliance & OEM Standards
- Adhere to all OEM warranty procedures and scorecard requirements
- Signed
- Returned
- Submitted before deadlines
- Maintain audit readiness at all times
Warranty Records & Data Management
- Label and store warranty files accurately for audit purposes
- Maintain a daily updated warranty tracker
- 100% data accuracy
- Proper filing and retrieval systems
- Develop and maintain structured systems for warranty documentation
Internal Collaboration
- Technicians
- Service Advisors
- OEM warranty departments
- Interpret and relay diagnostic findings accurately
- Support service operations when required (including temporary Service Advisor cover if needed)
Operating Environment
- Workshop and Aftersales Operations
- OEM‑driven processes and deadlines
- High‑volume claim processing
- Audit‑sensitive environment
- Time‑critical execution requirements
Minimum Requirements
- 1–2 years’ experience in:
- Warranty administration
- Automotive administration
- Dealer support roles
- Corporate dealership and volume brand exposure (Advantageous)
- Track record of meeting targets and deadlines

- Recall and campaign claim submissions
- Understanding of costing, labour and invoicing principles

Salary
R 12 000 – R15 000 p/m basic salary including benefits + KPI Measured Incentives
