Job Advert Summary

To provide comprehensive administrative and operational support to Fiduciary Specialists and the glu channel in the Coastal regions ensuring efficient delivery of fiduciary services and a high standard of service to members, intermediaries, and other stakeholders. The provision of administrative support to the Fiduciary Specialists in Cape Town and Durban

Minimum Requirements

Education

  • Undergraduate qualification would be an advantage
  • Certificate, diploma, or degree in Administration, Business Management, Legal Studies, Financial Planning, or a related field

Experience

  • 2 to 3 years sales administration experience within Internal/External Distribution and/or Fiduciary Services
  • Dealing with and engaging with Distribution Channels.
  • Understanding of fiduciary processes, trusts, wills, estates, and related documentation would be advantageous

Duties and Responsibilities

Administrative Support

  • Diary management, travel and calendar bookings
  • Database management, understanding and managing client information on behalf of Fiduciary Specialists
  • Manage and submit invoices and expense claims
  • Coordinate regional workshops, training, support and marketing events

Sales & Stakeholder Support

  • Assist with member and distribution channel queries.
  • Liaise with internal and external stakeholders.
  • Follow up on administrative requests and outstanding actions.
  • Engage with the glu channel, specifically the glu Broker Consultants and identified Intermediaries and develop a relationship with both
  • Share the Fiduciary Services offering and elicit support of Fiduciary Services
  • Conduct Will interviews via MS Teams with Members/Clients
  • Provide training sessions to Broker Consultants and Intermediaries (glu channel)
  • Conduct Will interviews via MS Teams with glu Members/Clients
  • Build relationships with glu Broker Consultants and Intermediaries linked to the glu channel

Records and Data Management

  • Maintain client databases and CRM records.
  • Ensure accurate filing, scanning, and document management.
  • Safeguard confidential client information.
  • Maintain effective record-keeping practices
  • Database management – understanding and managing client information on behalf of Fiduciary Specialists
  • Provide assistance to Fiduciary Specialists in and out of the office
  • Collation of monthly management stats

Client and Stakeholder Support

  • Preparation of presentations, documents and memos
  • Assist with Member and Distribution queries
  • Record-keeping
  • Safeguard confidential client information.
  • Filing, scanning, and ensuring proper record-keeping
  • Contribute to special projects
