Emeris National Office has a vacancy for a Registrar. This position may be based in either Waterfall (Johannesburg) or Cape Town.

The Registrar is accountable for overseeing student academic, admissions, registrations, records, course scheduling, examinations, graduations, academic policies and procedures and governance meetings. The Registrar is responsible for compliance with internal and external regulatory requirements and provides strategic leadership in support of the institution's strategic intent.

Duties and Responsibilities

Academic Administration

  • Maintain accurate and complete student academic records in line with the institution's Policies and regulatory requirements.
  • Supervise the processing and management of admissions, registrations, withdrawals, and transfers.
  • Coordinate student record audits and ensure compliance with institutional policies.

Course Management and Scheduling

  • Oversee scheduling of classes, examinations, and other academic events.
  • Coordinate classroom assignments and allocation of resources.
  • Manage course catalogues, including updates, changes, and academic programme structures.

Academic Governance, Policy Implementation and Administration

  • Secretariat and administration of Senate and its academic committees, ensuring sign off of all agendas, minutes and communiqués.
  • Ensure that accurate action and decision lists are maintained, tracked and implemented.
  • Coordinate policy development and review.
  • Ensure the implementation of the institution's academic policies and procedures and monitor through audits.

Graduation and Certification

  • Ensure graduation and risk management plans, procedures and process, curricula and contracts with vendors are in place for effective graduations.
  • Oversee and provide leadership on graduation processes, including ceremonies, issuing diplomas and certificates.
  • Check and sign off on the graduation and graduation programme reports.
  • Report on graduations as required.
  • Ensure the integrity and accuracy of degree certification.

Regulatory Reporting and Internal Quality Assurance

  • Complete, sign off and submit all regulatory reports accurately and timeously.
  • Participate in institutional audits, self-evaluation reports, and CHE site visits as required.
  • Ensure compliance with accreditation standards, and that internal quality assurance processes are in place.

Student Services

  • Provide quality academic guidance to students, faculty, and administrative staff.
  • Ensure student queries related to academic policies, registration, and academic records are timeously resolved.
  • Respond to student complaints from the regulators or lawyers and where required, escalate to legal services for support.

Systems and Technology

  • Oversee academic records systems (Student Information Systems - SIS).
  • Collaborate with IT/relevant divisions to ensure data integrity, privacy, security of academic records, functionality and optimization.
  • Use data analytics for planning and decision making.

Leadership, Supervision and Networking

  • Lead, train, and supervise Registrar Office staff.
  • Provide strategic direction and recommendations for institutional planning.
  • Lead change management as required.
  • Network with higher education registrars and regulators to ensure effective collaboration and alignment with best practices.
  • Keep abreast with national and international regulatory policies and best practices.

Competencies / Skills required

  • Excellent leadership, negotiation, organizational skills, analytic and problem-solving skills.
  • In-depth understanding of higher education legislation and regulatory frameworks and reporting requirements.
  • Excellent communication skills (written and verbal).
  • Experience in working with student information systems and academic administration software, including a high level of Excel skills.

Minimum Qualification Requirement

  • A Master's Degree in Education or a related field.
  • A PhD in Education or a related field will be an added advantage.

Minimum Work Experience Requirement

  • 8 years' experience in higher education student administration and graduation, with in-depth knowledge of higher education legislation, student information systems, familiarity with managing governance committees and policy development and review.
  • 5 years' experience in senior management in higher education, including leading teams and cross-functional coordination.
