MMS is seeking to employ a qualified and experienced Facilities/Maintenance Manager. The successful candidate will join a dynamic and highly skilled Maintenance/Facilities Team.

The successful candidate will report directly to the Chief Financial Officer.

PURPOSE

The Facilities Manager is responsible for the strategic and operational management of all facilities-related services across the Company's premises. The role ensures that all buildings, infrastructure, equipment, and support services are maintained to a high standard, providing a safe, compliant, efficient, and professional working environment for employees, visitors, and contractors.

The incumbent will oversee the maintenance and upkeep of multiple buildings, manage service providers and contractors, control departmental budgets, and ensure compliance with all relevant health, safety, environmental, and statutory requirements. The role is also responsible for the effective management of security, cleaning and hygiene services, access control, canteen services, office relocations, renovations, and other facilities-related projects.

TECHNICAL SKILLS & KEY RESPONSIBILITIES

Facilities Operations Management

  • Oversee the day-to-day management and operation of all company facilities across multiple buildings
  • Develop, implement and monitor preventative and reactive maintenance programmes to ensure facilities remain operational and well maintained
  • Plan, prioritise and allocate maintenance activities to ensure service delivery standards are achieved
  • Ensure regular inspections of buildings, equipment and infrastructure, identifying maintenance requirements and implementing corrective actions
  • Manage office relocations, refurbishments and renovation projects from planning through to completion
  • Oversee venue management and canteen operations to ensure efficient service delivery
  • Coordinate the procurement, allocation and maintenance of office furniture and equipment
  • Manage office consumables and ensure adequate stock levels are maintained

Contractor and Service Provider Management

  • Manage all facilities-related contractors and service providers, including:
    • Security services
    • Cleaning and hygiene services
    • Garden and landscaping services
    • Air-conditioning and HVAC contractors
    • Electrical contractors
    • Fire detection and suppression system contractors
    • General maintenance contractors
  • Monitor contractor performance against Service Level Agreements (SLAs) and contractual obligations
  • Ensure contractors comply with company policies, site rules, Occupational Health and Safety requirements, and legislative standards
  • Build and maintain effective relationships with suppliers, contractors and internal stakeholders

Maintenance and Infrastructure Management

  • Develop and maintain preventative maintenance schedules for all buildings and infrastructure
  • Oversee routine, planned and emergency maintenance activities
  • Manage electrical systems across all facilities, including internal and external infrastructure
  • Coordinate the servicing and maintenance of HVAC systems
  • Ensure fire detection systems, firefighting equipment and emergency infrastructure are inspected and maintained in accordance with statutory requirements
  • Ensure all maintenance activities are completed efficiently, safely and within agreed timeframes

Financial and Budget Management

  • Prepare and manage the annual Facilities and Maintenance budget
  • Monitor departmental expenditure and ensure effective cost control
  • Manage maintenance and facilities projects within approved budgets
  • Review monthly invoices, statements and payment requests for Facilities-related expenditure
  • Participate in quarterly budget reviews with Finance and executive management
  • Identify opportunities for cost savings and operational efficiencies

Stakeholder and Relationship Management

  • Work collaboratively with management and departmental stakeholders to ensure facilities support business operations effectively
  • Consult with internal stakeholders to understand operational requirements and implement appropriate facilities solutions
  • Develop strong relationships with service providers and contractors to ensure quality service delivery.
  • Drive continuous improvement initiatives to enhance facilities management processes and operational efficiency

QUALIFICATION & EXPERIENCE

  • Relevant tertiary qualification in Facilities Management, Building Management, Property Management, Engineering or a related field
  • Minimum of 5 years' experience in Facilities Management or a similar operational management role
  • Proven experience managing multiple contractors and service providers
  • Experience managing maintenance programmes and facilities-related projects
  • Sound knowledge of Occupational Health and Safety legislation and facilities compliance requirements
  • Experience managing operational and capital budgets
  • Proficient in Microsoft Office Suite
