PROPERTY ADMINISTRATOR

We are an established property developer in KwaZulu-Natal with a strong residential leasing and sales portfolio across several developments. We are seeking a capable and detail-oriented Property Administrator, based in Umhlanga Rocks, to support both our residential operations and our growing commercial developments. This role suits someone with a solid understanding of property, administration, sales, commercial and residential leasing, together with sound development knowledge. A bonus would be an administrator or Coordinator to manage our town planning applications, plan submissions and approvals across the KwaDukuza and eThekwini municipal areas.

The successful candidate will be responsible for (not limited to):

  • Preparing and maintaining residential and commercial lease agreements, renewals and supporting documentation.
  • Sourcing and vetting prospective tenants, including credit, reference and FICA checks.
  • Managing tenant queries, complaints, deposits and account administration.
  • Working with the Lease Administration Manager, Debtors Clerk and other relevant departments to resolve tenant-related issues where required.
  • Coordinating property inspections and tenant handovers.
  • Managing rental billing, arrears follow-up and statement reconciliations.
  • Coordinating maintenance requests and liaising with contractors.
  • Preparing arrears, vacancy, stock control and lease expiry reports.
  • Liaising with estate agents, managing agents, contractors and body corporates.
  • Snagging of New Units: Inspect newly completed units on site and compile a snag list, together with supporting photographs, for submission to the project manager and contractor. Follow up on outstanding snags until fully rectified and arrange cleaning of units in preparation for handover.
  • Handovers to New Owners: Coordinate and conduct handovers with purchasers on transfer of new units, ensuring all keys, documentation and unit information are provided. Confirm units are clean, snag-free and ready for occupation before handover.
  • Arranging estate access and keys, liaising with agents on available stock, sending weekly stock sheets and sale packs, sharing marketing photos and videos, and maintaining the accredited agents' shared folders.
  • Requesting Certificates of Compliance from contractors, maintaining records of received and outstanding certificates, and compiling Occupation Certificate documentation for Husk.
  • General Administrative items such as: a broad range of system and office administration tasks, including updating MDA and feasibility schedules, advertising stock on Property24 and Private Property, preparing handover and sale packs, submitting insurance claims, and managing scheduling, timesheets, and payroll input for domestic and cleaning staff across various estates.
  • Travel Between Developments: Travel to different estates and developments as required to conduct site inspections, attend handovers, meet contractors and agents, and carry out other on-site administrative duties.
  • Manage the submission, tracking and follow-up of town planning applications, including rezoning, subdivision, consent use, site development plans and township establishment applications.
  • Chase and follow up on outstanding building plans, site development plans and town planning applications with municipal officials until finalised and approved.
  • Liaise with the KwaDukuza and eThekwini town planning and building control departments and municipal officials on the status of applications.

Qualifications

  • Matric (Grade 12) or equivalent, minimum requirement.
  • NQF4 Certificate in Real Estate, PDE Certificate (or exemption), and CEA Certificate Negotiable
  • Minimum of three years' relevant experience in residential and commercial property with lease administration.
  • Fidelity Fund Certificate (FFC / PPRA) required – Negotiable
  • Proficient in MDA or similar, TPN, PropCtrl
  • Proficient in Microsoft Office (Word, Excel – Not negotiable, Outlook, PowerPoint).
  • Valid driver's licence and own reliable transport. Not negotiable

  • Fluent in English, written and spoken. Not negotiable

R18,000.00 – R25,000.00 CTC per month, negotiable depending on experience and the extent to which the candidate meets the stated criteria.
