We are looking for a highly organised, detail-oriented and proactive Sectional Title Portfolio Assistant to join our property management team.
The successful candidate will provide administrative and operational support to the Portfolio Manager, trustees and owners across a portfolio of sectional title schemes. This is an excellent opportunity for someone who enjoys working in a fast-paced property environment, has strong administrative skills and understands the importance of professional client service.
- Provide day-to-day administrative support to the Sectional Title Portfolio Manager.
- Assist with the effective administration and management of sectional title schemes.
- Communicate professionally with trustees, owners, tenants, contractors and service providers.
- Assist with owner and trustee queries and ensure that matters are followed up and resolved within appropriate timeframes.
- Prepare and distribute correspondence, notices, meeting documentation and other scheme-related communication.
- Assist with the preparation and administration of Annual General Meetings, Special General Meetings and trustee meetings.
- Take and distribute meeting minutes where required.
- Assist with maintaining accurate scheme records, documentation and correspondence.
- Assist with levy-related queries and follow up on outstanding matters.
- Obtain and follow up on quotations, maintenance requests and contractor-related matters.
- Assist with processing invoices and ensuring that supporting documentation is accurate and complete.
- Maintain and update property management systems and databases.
- Assist the Portfolio Manager with compliance and governance-related administration.
- Follow up on outstanding maintenance, insurance and general scheme matters.
- Provide general administrative support to ensure the smooth running of the portfolio.
- Maintain a high level of professionalism, confidentiality and customer service at all times.
- Grade 12 / Matric.
- A relevant qualification in Property Management, Business Administration or a related field will be advantageous.
- Previous experience in sectional title, property management or residential property administration is preferred.
- Good understanding of sectional title administration and the general property management environment.
- Strong written and verbal communication skills.
- Excellent organisational and time-management skills.
- Strong attention to detail and accuracy.
- Ability to prioritise and manage multiple tasks and deadlines.
- Computer literate, with good knowledge of Microsoft Office.
- Experience with property management software will be advantageous.
- Ability to work independently as well as part of a team.
