Business Support Manager

The Faircape Group is a diversified group of companies operating across healthcare, retirement living, telecommunications, internet services, utility management, property development and other sectors.

We are seeking a highly organised and proactive Business Support Manager to provide direct administrative and operational support to the CEO and senior executives. The role will focus on managing executive diaries, coordinating meetings, tracking action points and following up with managers and stakeholders to ensure agreed actions are completed within the required timeframes.

The successful candidate will also oversee the day-to-day management of the Claremont office, including facilities, tenant liaison, employee workspaces and the coordination of administrative and office support teams.

This role is suited to a confident, hands-on professional who can manage competing priorities, communicate effectively across all levels of the business and ensure that both executive commitments and office operations remain organised and on track.

Key Responsibilities

Executive and Business Support

  • Coordinate, manage and attend internal and external meetings involving the CEO.
  • Record, update and track meeting action items, following up with Heads of Department and relevant stakeholders before subsequent meetings.
  • Monitor shared CEO communication channels, including emails, calls and complaints, and ensure matters are directed to the appropriate departments.
  • Manage the calendars of multiple senior executives and proactively resolve scheduling conflicts.
  • Coordinate meetings, maintain calendar alignment and communicate changes promptly and professionally.
  • Respond effectively to changing priorities and last-minute requests while maintaining seamless executive support.

Office and Facilities Management

  • Oversee the general appearance, maintenance and upkeep of the Claremont office.
  • Coordinate building and facilities-related support in collaboration with the Maintenance team.
  • Act as the primary liaison between the landlord and tenants.
  • Ensure tenant queries and concerns are resolved promptly and coordinate matters relating to occupancy, access control, maintenance updates and general tenant communication.
  • Plan and coordinate employee workstations to ensure suitable and efficient use of office space.
  • Allocate parking bays to eligible employees and tenants.
  • Compile and submit monthly cellphone reimbursement reports.

Team Leadership

  • Lead and coordinate the administrative and support teams, including Reception, Barista, Housekeeping, Concierge and administrative employees.
  • Set clear expectations and ensure consistent service and operational standards.
  • Conduct regular performance assessments and support employee development and growth.
  • Assist HR with the practical onboarding requirements of new employees, including stationery, IT setup and workstation readiness.

Policies, Procedures and Operational Coordination

  • Support the implementation of and adherence to Standard Operating Procedures.
  • Draft, review and update relevant policies and procedures.
  • Maintain effective administrative systems that support operational efficiency.
  • Provide training to employees on internal processes and systems.

Qualifications and Experience

  • A relevant diploma or degree in Business Administration, Business Management, Office Management, Operations Management or a related field.
  • Proven experience in an executive support, business operations or office management role.
  • Demonstrated experience providing high-level support to executive leadership.
  • Proven experience leading and managing administrative or support teams.
  • Experience coordinating office operations, facilities and cross-functional stakeholders is essential.

Specific Requirements

  • Own reliable transport and a valid driver’s licence.
  • Two written references.
  • Clear health record.
  • Clear criminal record.
  • Clear credit record.

Working Hours

Normal working hours are Monday to Friday from 08h00 to 17h00 , with a 45-minute lunch break. Subject to approval from the direct manager, employees may work agreed flexitime between 06h30 and 18h30 .
