Our client is seeking a Senior Bookkeeper to join their team, providing bookkeeping services to their clients. Endeavour to provide high-quality data readily available for various uses including reporting, decision making and finance applications. The bookkeeping team is integral to providing this service to their clients. The primary purpose for this position is to perform and oversee advanced bookkeeping functions for their clients.
Position Summary
You are responsible for recording and maintaining day to day business financial transactions of their clients such as sales, invoices, purchases, expenses receipts and payments into general ledgers.
The general ledgers are used to produce management reports which include balance sheet, income statement, age receivable, age payable and stock reports.
- Record day-to-day financial transactions and complete the posting process in accounting software.
- Bring the books to the trail balance stage and ensure the trail balance accuracy.
- Filing of electronic or hardcopy documents.
- Review management reports and issue to clients for A+, A and B, C category clients
- Manage VAT reconciliation and submission process
- Client management and engagement related to bookkeeping matters.
- Manage bookkeeping team administrative and management aspects.
- Create, review, and approve audit packs/ financial statement packs.
- Various other ad hoc duties as required.
Our client’s bookkeeping clients are categorised into A, B, C and D clients. It is expected that you contribute to the bookkeeping process in the following manner after month 3 of employment:
- A clients – Contribute to a minimum 100% stage of completion.
- B clients – Contribute to a minimum 100% stage of completion.
- C clients – no contribution.
- D clients – no contribution.
Position Supervisory Responsibilities
Type and scope of supervisory responsibility that is expected from this position.
- Provide direction to team.
- Trains, provides work direction, and problem-solving assistance for the Bookkeeping team.
- Overseeing the daily operations of Bookkeeping Team.
- Assist the Bookkeeper Team Leader with the supervision of the bookkeeping staff, including hiring, scheduling and assigning work, reviewing performance, and recommends salary increases, promotions, transfers, demotions, or terminations.
Qualifications
- Matric with mid to high grades in mathematics and accounting.
- Completed Certificate or Completed Diploma in accounting or bookkeeping.
Continuous Professional Development
- Takes responsibility for ongoing on-the-job training and for pursuing part-time relevant academic qualifications.
Experience
- At least three-to-four-year bookkeeping experience in an accounting practice environment.
Knowledge
Sufficient familiarity with the subject to know basic principles and terminology and to understand and solve simple problems:
- Understand advanced workings of a financials and bookkeeping including accounts payable, accounts receivable and stock.
- Advanced principles and rules of Value-Added Tax Act.
- Advanced understanding to review management reports.
- Intermediate understanding of client relationship management.
- Advanced understanding of VAT reconciliations and submissions to SARS.
- Intermediate understanding of supervision principles.
- Basic understanding of management principles.
General Knowledge
Sufficient knowledge of a field to perform most work in normal situations:
- Understand intermediate workings of a financials and bookkeeping including accounts payable, accounts receivable and stock.
- Intermediate principles and rules of Value-Added Tax Act.
- Intermediate understanding to review management reports.
- Basic understanding of client relationship management.
- Intermediate understanding of VAT reconciliations and submissions to SARS.
- Basic understanding of supervision principles.
Thorough Knowledge

The method of processing depends on the client and can either be accrual accounting or cashbook accounting or a combination of the two methods.
The method for data processing from source documents varies from client-to-client (physical documents, electronic documents via cloud storage facilities or document management software).
Ensure transactions processed adheres to the VAT Act.
Ensure transactions processed adheres to our client’s internal bookkeeping policies.
Ensure transactions processed are classified correctly in the trail balance according to the nature of the transaction and the classifications rules of its nature.
Bring the books to the trail balance stage and ensure the trail balance accuracy.
This includes
- Bank reconciliations.
- Reconcile age receivables and age payables ledgers.
- Maintain age receivable and age payables age analyses.
- Posting manual journals.
- Create and maintain asset registers and execute subsequent depreciation runs.
- Create and maintain similar other supporting register as per client-to-client requirements and needs, including but not limited to.
- Loan schedules.
- Intergroup schedules.
- Reconcile trail balance accounts to supporting registers and supporting documents.
- Reconcile control accounts.
- Verify that transactions are recorded correctly in the various ledgers and trail balance.
Review management reports and issue to clients for A+, A and B category clients
- Review and sign-off trail balance for category A+, A, B and C clients.
- Issue accurate and complete management reports to clients for category A, B, C and D clients.
- Update Risk Trackers.
Client management and engagement related to bookkeeping matters:
- Request necessary information from clients.
- Respond to client enquiries.
- Communicate with clients regarding bookkeeping matters.
- Support clients with training on bookkeeping matters and bookkeeping software.
- Support clients through defining bookkeeping policies and procedures and establishing chart of accounts for them.
- Identify sales opportunities for our client’s services.
Manage bookkeeping team administrative and management aspects
Ensure administrative processes for the bookkeeping team is completed as per standard operating procedures including:
- Client worksheet.
- Our client’s document management systems.
- Bookkeeping planning worksheets.
- Shared mailbox management.
Ensure job profitability for the client portfolio which this position oversee.
Manage the VAT reconciliation and submission process
Complete VAT reconciliations using our client’s standardised templates:
- Extract VAT Reports.
- Completion of clients VAT reconciliation template.
- Reviewing VAT report to identify discrepancies for correction.
- Ensure the VAT control points is cleared.
- Submit the VAT reconciliation with supporting documents to reviewer for sign-off.
Review VAT reconciliations prepared by the Interns.
Manage the VAT submission process
- Prepare VAT201 return on SARS efiling as per the signed-off VAT reconciliation and save. Do not submit
- Submit the draft VAT201 return for the reviewer for approval.
- After Reviewer approved the VAT reconciliations, submit the VAT EMP201 to SARS and load VAT payments for clients and send VAT return and payments to clients.
- VAT audits.
- After the VAT submissions, evaluate which clients was selected for verifications, create jobs and ensure VAT verification process is activated.
Address non-compliance matters related to VAT, payment allocations and outstanding debt.
Office Administration
- Filing of electronic or hardcopy documents.
- Ensure document used on the bookkeeping process is filed according to our client’s policies being either hardcopy or electronic of nature.
Assurance and Accounting Services
- Create, review, and approve audit packs/ financial statement packs.
Annually or as the circumstances require.
Supervision of Bookkeeping team
- Provide on the job training to the Bookkeeper Intern and Bookkeeper 1.
- Provide work direction to the Bookkeeper Intern and Bookkeeper 1.
- Assist the Bookkeeper Intern and Bookkeeper 1 in problem solving activities.
