Sample Set Assistant

My client, a well-established company within the clothing manufacturing industry, is seeking an experienced Sample Set Assistant to join their team in Pinetown.

The successful candidate will be responsible for coordinating the sample set process, managing workflow across the pattern, cutting and machining teams, and ensuring samples are completed accurately and within required deadlines.

  • Manage pattern makers, cutters, machinists and other team members on a daily basis.
  • Allocate work according to order CADs/concepts and required deadlines.
  • Monitor sample production and identify and resolve any delays or blockages.
  • Coordinate weekly meetings with the Cutting Supervisor and Machinist Supervisor.
  • Manage sealed-to-bulk marker issues, including pattern and specification amendments.
  • Ensure make and ratings are thorough and accurate.
  • Manage and prioritise urgent requests.
  • Keep the Merchandising team updated on fits and seals.
  • Follow up on required approvals and ensure outstanding actions are completed.
  • Pull samples from the Merchandising team for fit sampling and fabric requirements.
  • Follow up on strike-off and trims approvals.
  • Ensure Sync is updated throughout the process.
  • Provide an overview of 6-month orders.
  • Prepare IT reports, approve overtime and manage leave forms.
  • Maintain and update the Sample Set KPI Report daily.
  • Review weekly KPI performance and provide management with performance summaries.
  • Implement effective processes to improve customer scorecards.
  • Maintain a neat and organised workstation and filing system.
  • Previous experience within a clothing/garment manufacturing environment is essential.
  • Experience within a sample room/sample set environment.
  • Strong understanding of the sample, fit and seal process.
  • Experience working with pattern makers, cutters and machinists.
  • Experience with CADs, patterns, markers, grading/ratings and specifications.
  • Knowledge and experience using Sync will be advantageous.
  • Strong organisational and coordination skills.
  • Excellent attention to detail.
  • Ability to manage multiple tasks and meet tight deadlines.
  • Strong communication and interpersonal skills.
  • Ability to work effectively with Merchandising, Pattern Making, Cutting and Machining teams.
