Reporting Level
Directors in Employment and Public Law Department (Shekesh Sirkar & Jaimé-Lee Jacobs)
Subject to expansion, the department shall comprise of:
(i) 2 x Directors;
(ii) 1 x Senior Associate;
(iii) 1 x Associate;
(iv) 1 x Candidate Attorney; and
(v) Senior Legal Secretary / Paralegal
The successful incumbent shall be required to render administrative and secretarial services to the department.
Commencement
Mid-October 2026 or as soon as possible thereafter but no later than 02 November 2026
Remuneration
Commensurate with work experience
Working Hours
Monday - Friday 08h30 to 16h30
Daily lunch hour 13h00 - 14h00
The incumbent may be required to work overtime if and when the work demands or deadlines require.
2. REQUIRED QUALIFICATIONS AND EXPERIENCE
2.1. Minimum Grade 12 certificate.
2.2. Secretarial Diploma in Legal (Preferred).
2.3. Experience as a secretary, minimum: 3 – 5 years.
2.4. Certificate of Completion from an approved Paralegal Certification Program of Education and Training (Highly Desirable).
2.5. Computer proficient (Office Suite - specifically Outlook, Word, and Excel).
2.6. Experience in financial software LegalSuite and GhostPractice (preferred).
2.7. Experience in dictaphone typing, with a minimum typing speed of 50-60 WPM.
2.8. Experience in drafting accounts; drawing tax invoices and statements are essential.
2.9. Strong skills in Excel and numeracy.
2.10. Excellent written and verbal communication skills.
3. KEY REQUIREMENTS / DUTIES
3.1. The ideal candidate should be dedicated, ambitious, hard-working, a team player and able to use his/her initiative in a professional environment.
3.2. Strong administrative and organisational skills to manage all administrative aspects of the Employment and Public Law Department.
3.3. Perform general administrative duties and attend to administrative functions associated with a Public Law and Employment Law practice.
3.4. Carry out general secretarial duties related to case and document management, such as managing a diary (case file management), filing (document management), drafting and typing of letters / emails, preparing and rendering tax invoices, drafting of accounts (accounting/billing).
3.5. Attend to dictation (Dictaphone and verbal) from two or more attorneys, as required.
3.6. Schedule travel arrangements as and when required.
3.7. Manage incoming and outgoing telephone calls to and from other stakeholders within the firm and outside of the firm and handling same professionally, courteously and efficiently.
3.8. Create, organise and maintain documents in a suitable filing system/s (electronic and in hard copy).
3.9. Liaising with clients, counsel, correspondent attorneys and/or various regulatory bodies. Manage correspondence with clients, counsel and third parties. Schedule consultations and meetings with clients and other third parties.
3.10. Format briefs to counsel, pleadings and other legal documents. Transcribe and proofread legal documents. Filing legal documents (both e-filing and hard copy skills are preferred).
3.11. Keep track and record attorney time records for billing.
3.12. Provide administrative support to senior legal assistant / paralegal and two or more attorneys.
3.13. Follow up on outstanding accounts (management of debtors’ book / credit control) and attend on account related queries, as required.
3.14. Facilitate the meeting of deadlines by keeping multiple agendas and provide timely reminders. Ability to identify and meet deadlines (must have own initiative).
3.15. Ability to contribute positively as part of a team, assisting with various tasks proactively, as required.
