Draft lease documentation, correspondence and attend to admin
functions relative to the above, including receipt of signed
documentation for finalisationPosition OutputsFinalise all lease documentation according to set standards Draft lease documentation, including special clause and replacement pages Highlight amendments and obtain necessary approval where required Check signed leases and other documentation against base to ensure correctness and ensure that the signed lease conforms to legal requirements Ensure unsigned lease reports are up to date, necessary notes to be always recorded against contracts. Forward original lease agreement to Head office for safe keeping and a copy for the lease file and tenant Advise Finance department of new contracts for billing purposes Attend to queries relative to lease documentation internal and external Attend to day-to-day residential queries and annual renewal documentation to be dispatched to tenants Ensure that tenant files are up to date and filed accordingly Drafting submissions for new or renewal leases
Drafting of submission for approval of demolition of buildings Maintain people information in line with legislation(POPIA) All renewals to be updated on SAP as and when required Ensure original lease documentation is correctly lodged in control register at legal (filling team) for safe keeping Interaction, communication with municipality on matters relating to rates and taxes, water and electricity relevant to leased property Reconcile rates and taxes accounts for effected lease Compile any forms created for debit and credits due by and to tenants Compile deposit refund forms for approval Provide Ad-hoc information on legal matters to legal department giving special regard to residential tenants Assist the leasing consultant where necessary with verification of pre-billing vs SAP report, exception reports, lease register and annual budget input.
Continue follow up with legal department re status of legal cases where tenant need to be evicted Assist with termination process as per the approved processes
Qualifications and ExperienceGrade 12 (NQF 4) or Senior Higher Certificate (NQF 5) Min 3 years’ relevant experienceCompetencies
