Executive Paralegal and Executive Assistant to Martin Vermaak

Martin Vermaak Attorneys is looking for a bright, highly organised and ambitious person to work directly with Martin Vermaak as his Executive Paralegal and Executive Assistant.

This is not a traditional PA position.

The successful candidate will work closely with Martin across his legal practice as well as selected business, technology and development projects. The position will offer exposure to legal work, executive administration, project coordination, legal technology, marketing, content development and business growth.

This is a junior position within the firm, not an entry-level one. Candidates should have at least two years of relevant office administration experience. What makes it junior is the level, scope and pay grade you start at, and the fact that Martin will personally train and develop you significantly over time — not that no experience is required.

It would suit someone who enjoys variety, learns quickly and wants a position in which their responsibilities can grow significantly over time.

What you will do

Your role will include assisting Martin with:

  • managing his diary, meetings and priorities;
  • keeping track of important instructions and deadlines;
  • making sure outstanding matters are followed through;
  • preparing meeting agendas, notes and action lists;
  • organising documents and information for meetings and legal matters;
  • assisting with basic paralegal and legal administration;
  • assisting with Martin's billing and file administration;
  • drafting routine correspondence and administrative documents;
  • keeping projects organised and maintaining progress records;
  • assisting with selected website, article and marketing work;
  • assisting with the testing and administration of legal-technology projects;
  • coordinating with staff, service providers and other parties when required; and
  • generally helping Martin keep control of a very busy and varied workload.

You will not be expected to know how to do everything from day one. The successful candidate will receive ongoing training and will gradually take on greater responsibility as they develop in the role.

Who we are looking for

Above all, this role demands exceptional written and verbal communication skills — you will be drafting, chasing and representing Martin in writing every single day. This matters more than any other single skill listed below.

We are looking for someone who:

  • has at least two years of relevant office administration experience;
  • is exceptionally organised;
  • is reliable and responsible;
  • is confident using computers and learning new technology;
  • is comfortable working with Microsoft Outlook, Word, Excel and Teams;
  • can keep track of several matters at the same time;
  • is attentive to detail;
  • is comfortable following up with people professionally;
  • is interested in law, business and technology;
  • is willing to learn;
  • is discreet and able to work with confidential information; and
  • takes pride in getting things finished properly.

A paralegal qualification, LLB degree, legal-secretarial background or previous experience in a professional environment would be a strong advantage.

We are more interested in finding someone with the right ability, attitude, work ethic and potential than in ticking every box — but the two years of office administration experience is a genuine requirement, not a preference.

Salary

Approximately R10,000 per month, depending on experience
