Role overview

The client is an independent, FAIS-licensed financial advisory practice based in Walmer, Gqeberha, advising private clients on their financial planning.

The Personal Assistant keeps the practice running day to day: managing the planner’s diary, preparing client documentation, coordinating meetings and handling general administration, so that the planner spends more time with clients and less time on process. It is a visible role with direct client contact, suited to someone organised enough to run the detail without being asked twice.

This is an office-based position with no remote or hybrid option.

Key responsibilities

  • Assist with the preparation and follow-up of client review meetings.
  • Manage day-to-day client communication and engagement, including calls, email and meeting correspondence.
  • Send meeting reminders and assist with meeting preparation.
  • Manage the planner’s diary and scheduling.
  • Handle general and basic office administration.
  • Prepare client documents and client packs ahead of meetings.
  • Draft meeting agendas, forms, quotations and proposals.
  • Manage tasks and workflow on Asana.
  • Liaise with marketing where required.
  • Use AI tools to assist with administration and document preparation.

Minimum Requirements

  • Strong, fluent Microsoft Word and Excel skills.
  • Fluency in English and Afrikaans, written and spoken.
  • Highly organised, with strong attention to detail.
  • Professional and personable, and comfortable working independently.
  • Good written and verbal communication skills.

Preferred Qualifications

  • Previous experience supporting a financial planner, adviser or professional services office.
  • Prior use of Asana or a similar task-management tool.
  • Comfort using AI tools such as ChatGPT or Copilot for drafting and administrative support.

Skills and competencies

  • Accurate document and client-pack preparation.
  • Confident diary and workflow management across competing priorities.
  • Clear, professional client communication in both English and Afrikaans.
  • Practical use of task-management and AI tools to keep work moving.

Personal attributes

Someone dependable and quietly efficient, who notices the detail that has been missed and fixes it before it reaches the client. The practice needs a professional and personable presence on the phone and in the office, and someone who is comfortable taking ownership of the administration without close supervision.

Remuneration and working arrangements

R10,000 to R12,000 per month, negotiable on experience. Office-based in Walmer, Gqeberha, Monday to Friday, 08:00 to 17:00. Permanent, full-time appointment.
