About The Job

The CSIR has a vacancy for a Call Administrator in Facilities Management and Security Services

(FM&SS) who will work with Call Centre Agents to provide reliable, professional call administration support to FM&SS. The incumbent will use the computerized maintenance management system (CMMS) to capture work requests and assign them to the correct teams to ensure timely execution. This position is based in Pretoria.

This position reports to the Manager: Planning Services, Monitoring and Evaluation

Key Responsibilities

Administration

  • Plan and coordinate maintenance services to ensure fit-for-purpose workspaces, building infrastructure and equipment.
  • Log service requests received from FM&SS Clients on the Archibus system.
  • Review and approve service calls logged by Service Desk operators.
  • Allocate calls on the Archibus system to the relevant FM&SS service department.
  • Manage lost calls and reroute them to the correct work team.
  • Update maintenance tasks per asset to capture any changes and improvements and ensure job cards from the CMMS always have current information.
  • Act as a liaison between FM&SS and CSIR and tenants' work requesters.
  • Close completed calls upon completion of work execution in the assigned area of responsibility.
  • Carry out Procurement of materials and outsourced services in the area of responsibility.
  • Prepare tender documents and coordinate tender processes with Supply Chain Management.
  • Manage the receipt of goods and services to enable supplier payments.
  • Timeously Receipt invoices for received and verified goods and services and close purchase orders.

Customer services

  • Interact with FM&SS staff and customers professionally, with respect and dignity.
  • Proactively manage communication and relationships with all customers.
  • Act as liaison between FM&SS and CSIR Divisions, Portfolios and Tenants on FM&SS-related issues.
  • Establish and maintain good relationships with customers by understanding their requests.
  • Ensure that all maintenance work is completed efficiently and effectively.

Monitoring

  • Generate monitoring reports on maintenance performance and backlog.
  • Compiling weekly reports for presentation and discussion at periodic meetings.
  • Carry out periodic independent stock takes in stores.
  • Compile weekly open calls reports for submission to Planning and Service Monitoring Manager.

Management Responsibilities

  • Manage a team of Service Desk Operators.
  • Manage, mentor, coach and play an advisory role for staff growth and development.
  • Conduct performance management contracting and reviews for all staff at the recommended periods.
  • Identify and implement training interventions.
  • Recommend and facilitate developmental plans.
  • Dispute resolution.

Qualifications, Skills And Experience

  • Grade 12
  • Certificate in Administration or/ Mechanical or/ Electrical or/ Industrial Engineering
  • Minimum 3 years' experience in an administrative role or supervisory role, or in maintenance management
  • Computer literacy
  • Knowledge of technical trades
  • Knowledge and experience in the use of a Call Management or Maintenance Management System
  • Code 8 Driver's license
  • All international qualifications require an evaluation report/certificate issued by the South African Qualifications Authority (SAQA).
