Position reports to: HR Supervisor

Based at: Atlantis Industrial- Western Seaboard or Blaauwberg regions, Western Cape

Contract Type

Permanent with a 6-month probation period.

Working Hours

Mondays – Fridays: 08h00 – 17h30

Hours may fluctuate due to operational requirements. Weekends/public holidays will be required. The successful candidate must be flexible.

Job Purpose

To support the HR department in maintaining a compliant, skilled and efficient workforce.

The role provides day-to-day HR administration support and assists the Junior Payroll Officer with high-accuracy processing during intensive weekly pay periods.

Qualifications/Skills

  • Grade 12 with Mathematics as a subject.
  • Tertiary qualification in HR Management/Industrial Psychology/Payroll and/or relevant field will be advantageous.
  • Solid proficiency in MS Office 365 (Intermediate-to-Advanced Excel is essential, alongside Word, Outlook, and collaborative tools, e.g. Teams, and OneDrive).
  • Proficiency in Sage 300 People and/or an HR Information System will be advantageous.
  • Proficiency in TracTech and/or a timekeeping system will be advantageous.

Experience Needed

  • At least 2–3 years’ work experience in a similar role within an FMCG/manufacturing environment.
  • Prior exposure to the protein industry (e.g., meat, fish, dairy, etc.) will be advantageous.
  • Deep understanding of the Basic Conditions of Employment Act and Labour Relations Act.

  • Comfortable working in a production/manufacturing environment and engaging effectively with employees across all levels, including the shop floor.
  • Applies immediate urgency to tasks—escalating faults quickly and driving workflows to rapid completion.
  • Possess a valid driver’s license and own reliable transport.

Key Responsibilities

  • Collaborate with the Junior Payroll Officer to assist with preparing time and attendance data for weekly pay runs.
  • Assist in calculating and auditing weekly payable hours, variations, and deductions for approximately 600 employees spread across 4 distinct payrolls.
  • Maintain data accuracy within the TracTech timekeeping system, register new employees and capture biometric data.
  • Systematically manage and update staff payroll diary notes to track dynamic, weekly payroll changes.
  • Upload documentation and maintain digital records in Sage 300 People (HRIS).
  • Assist with auditing, processing and tracking leave applications in ESS to ensure leave balances are precisely maintained.
  • Assist with completing pension and provident fund applications, adjustments, and withdrawals.
  • Oversee the archiving, physical filing, and legal document retention lifecycle for all active and historical employee files.
  • Schedule, arrange, and log mandatory occupational medical examinations, including eye/vision tests and audiometry evaluations, for factory and office staff.
  • Attend to daily staff queries and execute standard administrative tasks to ensure smooth department operations.
  • Coordinate recruitment administration, including candidate screening, scheduling psychometric/skills assessments, and conducting employee inductions.
  • Assess attendance and performance data to determine disciplinary warnings, update employee disciplinary data on the various platforms and compile comprehensive, legally compliant files for disciplinary hearings.
  • Provide administrative assistance to the whole HR team.
