Title: Administrative Assistant (Deceased Estates, Accounting, & Office Admin Duties)

· On-site office-based in Potchefstroom, North-West Province, South Africa (No remote work).

· Half day position

· Proven administrative experience, or in similar roles in a legal and accounting environment.

· Exceptional time-management and multitasking abilities.

· Ability to prioritize tasks and meet tight deadlines.

· Support attorney’s daily operations with minimal supervision.

· High level of accuracy in documents, correspondence, and financial records.

· Proofreading and document formatting for professional use.

· Manage firm calendar, schedule appointments, and set reminders.

· Efficient in handling correspondence, emails, phone calls, and client queries

· Maintain orderly filing systems (physical and digital).

· Attend to external tasks such as visits to municipalities, the Master of the High Court, and related institutions.

· Anticipate needs and assist in daily task execution.

Estate Administration Knowledge (Basic):

· Understand estate administration processes and documentation.

· Assist with claims processing, asset documentation, and liaison with beneficiaries.

Basic Financial & Accounting Knowledge:

· Prepare quotations, client billing and invoices (including using accounting and related software), budgets, and track office expenses.

· Assist with document management related to financial and legal matters.

Discretion & Confidentiality:

· Handle sensitive personal, legal, and financial information with the highest level of discretion.

· Demonstrate professionalism in all client and internal interactions.

· Strong verbal and written communication skills.

· Ability to liaise professionally with clients, stakeholders, and institutions.

· Willingness to assist with additional tasks as required across administrative departments.

· Proactive and eager to learn.

Tech-Savvy:

  • Proficient in Microsoft Office.
